UJ LIBRARY SERVICES: INTER LIBRARY LOAN (ILL)

Inter Library Loan is a method of obtaining and supplying materials, which are not available in the UJ Library. This service is on National and International level, and is regulated by various agreements such as CHELSA and GAELIC.

 

If the material is not available on UJLink (Library Catalogue) or on the A-to-Z electronic journals, you can place a request through Inter Library Loan services. The item will be requested from another South African or International libraries.

 

Who qualifies for this service?

 

This service is available to UJ staff and Masters & Doctoral students.

 

Cost

 

South African requests are FREE of charge.

For international requests, FEE charges are applied. Read more on the Inter Library Loan web.

 

How to get started?

 

1.        If you are first time user, you need to register as an interlending member by completing ILL requisition form.

2.       You can scan, fax or e-mail after completion.

3.       Once the form is submitted to the ILL office you can start using the service.

4.       You can place ILL requests in two ways:

·         In person by completing the available cards at the ILL office or

·         Electronically – by placing your request directly through the Inter Library Loan web page. Please note, that the electronic ordering is available only at APK Campus. To place electronic request you will need to login with your SURNAME, STAFF/STUDENTS number and PIN. PIN is easy to create, just follow the instructions.

5.       Once the request is fulfilled by ILL, you will receive an e-mail notification to collect the item.

6.       If an item is not available in South Africa, you will be asked if you need the request to be placed with International Libraries.

UJ LIBRARY SERVICES: INTER CAMPUS LOAN

An Inter Campus Loan (ICL) is a transaction in which books and journal articles are made available by one UJ Campus Library to another upon request.

The purpose of Inter Campus loans is to provide good and speedily services to our clients of the University of Johannesburg Library and Information centre.

Inter Campus loans are available to ALL the registered users of the University.

 

Where to start?

The need for this service will arise when you search the UJLink (Library Catalogue) and find a book or a journal at another campus. Search also A-to-Z electronic journals to ensure that the journal is not available in electronic format.

Once you establish that the book or journal you need is not available at your Campus Library or that all copies are already in use by other users, you can:

·         Check the UJLink and A-to-Z electronic journals for availability

·         Only books that are on open shelves can be loaned.

·         Write down the details of the title, including the campus and shelf number

·         Approach your Library Campus Inter Library Loan (ILL) office

·         Complete the cards which are available at the ILL office

·         There are two different cards: yellow for books and orange for journals; make sure that you complete the right card.

·         Once the card is filled, just put it in the allocated “post” box

·         You MUST come to the ILL office and inquire if the material is received within 3 working days

 

Who qualifies for this service?

This service is available to all staff and students of UJ.

Compliance with the LIC Access and Circulation Policy is a prerequisite to this service.

 

Cost for late returns:

Fines as determined by the LIC Access and Circulation Policy charged for late returns

 

Courier service:

This service is daily available to ensure that the turn around time is not compromised.

 

Loan period:

Determined by the UJ loan period as reflected in the LIC Access and Circulation Policy

UJ LIBRARY SERVICES: LIBRARY MEMBERSHIP TO OTHER LIBRARIES

According to an agreement between libraries at higher education institutions in South Africa, postgraduate students and academics can apply for library membership from these institutions. The reasons for that membership could be:

          Library near place of residence;

         Library, which provide resources not available at the UJ Library;

          Other

 

Only UJ staff, Academics & Postgraduate studtents can request this membership!

 

Some of the Libraries you can apply for membership are:

– UNISA, University of Pretoria, WITs University, University of Limpopo, Nelson Mandela Metropolitan University, Rhodes University, North West University, Tshwane University of Technology, University of Stellenbosch, University of Cape Town, University of the Free State, etc.

 

Steps in applying for access to other University Libraries:

 

1.        Complete the Letter of Introduction form to apply for membership to other library.

2.       Only 2 libraries can be selected.

3.       Submit the completed form to your subject librarian (by fax or in person) accompanied by prove of registration.

4.       Specify if you would like the Letter to be collected, posted or faxed. You will be contacted once the Letter of Introduction has been processed.

5.       Please ensure that you don’t have overdue books or unpaid funds.

6.       Allow one-two day for administration.

7.       Hand this letter of Introduction in at the library with which you would like to apply.

8.       Please adhere to all the rules and regulations of that library.

 

UJ LIBRARY SERVICES: LIBRARY MEMBERSHIP

Access to the UJ Library is provided to clients affiliated to the University:

  • Staff (temporary & permanent)
  • Students
  • Prospective M & D students (access only to the Campus,where registered)
  • Alumni members and
  • Honorary members.

All these members gain access to the library by using a valid university card.

 

Approval of membership:

Requests for free membership will be approved by the Head of the LIC. Please copmlete the UJ Library Membership form.

Corporate membership – approved by the Team Leader: Lending.

Membership approved by lending staff:

·         Staff / students, students of other S A  Higher Education institutions

·         Alumni

·         External clients.

  

Staff and Students

Staff and students have access to all campus libraries. Membership is valid for the duration of their affiliation with the university.

 

Prospective Postgraduate students

Postgraduate students doing their proposals, and who need to have access to library resources, can register at the library.

Pleasecomplete the UJ Library Membership form.

A letter of recommendation by the lecturer must accompany this application.

The membership is valid for a calender year.

 

Visiting Lecturers/Professors:

Visiting lecturers can apply for special membership of the library. Please, ask for Membership form at the Lending desk at your campus.

 

Students and staff from foreign universities:

Visiting lecturers and students from foreign universities may obtain membership on presenting a letter of introduction from the relevant academic department at UJHB.

Membership will be restricted to the campus library where registered.

 

Alumni members

Alumni members membership is to all UJ campus libraries, upon payment of membership fee at the Library.

Membership will be valid for a year.

Membership can be renewed upon  payment of a fee.

 

Honorary membership (including Friends of the Library and donors) may be bestowed at the discretion of the Library Directorate. Retired faculty staff and council members of the University qualify for free honorary membership.

 

Former employees obtain membership upon payment of external membership fee.

 

Day visitors:

Day visitors are allowed access on payment of a daily fee.

The amount to be paid in full regardless of the duration of the visit.

The fee is subject to annual revision.

Once payment is received  – the visitor will be issued with temp access card.

 

Students/staff from other South African higher education institutions:

 

They are admitted according to the CHELSA  & GAELIC agreements (Letter of introduction).

Members must purchase a university card at the fee determined by the University. Access is to the registered library only.

Membership is valid until the end of the current academic year.
